All Users of Outlook/Exchange can follow these tips to make sure that your data is effectively stored.

Your Outlook mailbox grows as items are created, in the same way that papers pile up on your desk. In the paper-based world, you can occasionally shuffle through your documents and store those that are important but not frequently used. Documents that are less important, such as newspapers and magazines, you can discard based on their age.

You can quickly complete the same process in Outlook. You can manually archive/transfer old items to a local storage file by clicking "Archive" on the "File" menu, OR you can have old items automatically transferred by using AutoArchive. Items are considered old when they reach the age you specify. With AutoArchive, you can either delete or move old items.

AUTO-ARCHIVING
First of all, you need to configure your "AUTOARCHIVE" settings.

Step 1.

Open Outlook.

Click TOOLS>>OPTIONS

Click on the OTHER tab

Click on the AUTOARCHIVE button

Step 2.

Change the first item to Run AutoArchive every 7 Days

Leave the next 4 boxes checked (Default settings)

Change the Clean Out Items older than 6 months to 3 MONTHS

Click OK

Step 3.

Put a check in the Empty Deleted Items folder upon exiting

Click OK

This process will automatically run every 7 days. Simply say yes when prompted.  
   
   

MANUAL ARCHIVING: It is important to realize that if you use EXCHANGE EMAIL for Outlook, all of your folders take up space on the mail server. ARCHIVING pulls certain files off the server and to your local machine. These items are still easily accessible.

Step 1. Open Outlook.

Step 2. Click FILE>>ARCHIVE

Step 3. Choose MAILBOX - Your Name Click on image for larger version
Step 4. Choose a date as a cutoff point. Items older than this date will be ARCHIVED. Click on image for larger version
